Two Brains and Six Arms

ai productivity sales systems sprintlife

You want your evenings back. You want a sales team that sells without you in every call.

So every new AI sales tool looks like the answer. A new dialer. A new "AI SDR." A new agent that promises to fill your calendar while you sleep. 🐬

Each one smells like a fresh start. Three months later, it's one more login gone stale.

Then you ask which one to pick.

It's the wrong question. The one that matters: where does your company remember?

Here's our answer at Strategy Sprints. Two brains we own. Six arms we rent. 🐯

The brains give you clarity. Clarity gives you control of the sales call. The arms give you your evenings back.

Tools are arms. Arms come and go.

We run Strategy Sprints with a small team of people and a team of AI agents. They prospect, follow up, prepare my calls, clean my inbox and publish content.

Over the last year we swapped tools more than once.

Cold email moved from Instantly to Hunter. Our team chat moved from Slack to Discord. Our notes, our CRM and our decisions didn't move an inch. 🌴

Because the tools were never the system. They were arms.

The system is two brains. And that's the part almost nobody builds.

Brain one: the personal brain

This is the founder's brain, written down. It holds what you know, what you decided and what you promised.

Ours has four parts:

  • Granola listens to my meetings. Our biggest decisions happen in conversations, not in documents. If the meeting isn't captured, the decision is lost.
  • Obsidian remembers. Plain text files in folders I own. Meeting notes, research, scripts, the book I'm writing.
  • Things 3 keeps me organized. Every promise becomes one next action, in one list.
  • The calendar knows when things happen.

Picture a call ending. The notes land in Obsidian. The promise I made on the call becomes one to-do in Things 3. Nothing lives only in my head. 🌴

Why does this come first? Because AI only sees what's written down.

If half your commitments live in your head, an agent works on the other half. Confidently. At speed. That's how you scale chaos instead of sales. 🐯

And here is the part no tool does for you: direction and taste. What matters this week. What we say no to. What good looks like. That stays human. I clarify, the system carries it.

Brain two: the team brain

The personal brain is mine. The team brain is ours.

  • Notion holds the team truth: the CRM, the task dashboard, the copy we've approved for campaigns.
  • Google Drive holds the documents: proposals, templates, the files we share with clients.

The rule is simple. Every layer has a private version and a shared version, and they never get mixed up.

My to-dos live in Things 3. The team's tasks live in Notion. My thinking lives in Obsidian. The team's agreements live in Notion and Drive.

When a person or an agent asks "what's the status, and whose move is it?" there is exactly one place to look. 🐬

That's also what your next sales hire needs. Not your memory. A place where the last call, the next step and the approved words are already written down, so they can run the process without you.

The spine: the AI that moves the arms

Between the brains and the arms sits the AI.

Claude is the spine. It reads both brains, writes the drafts, and moves the tools.

Jev, a judgment model from a company called TypeSafe, answers the yes-or-no questions. Is this reply from a warm buyer? Did the buyer name a starting date? It doesn't write a word. It decides, and tells you how sure it is.

Both are swappable. Next year there may be a better model. Fine. Plug it into the same two brains and on day one it can read everything the old one could. 🌴

That's what "your own data" really means. The model is rented. The memory is yours. Chew on that for a second.

Today, our six arms are..

  • Kajabi: our website, blog, community and emails.
  • HeyReach: LinkedIn conversations.
  • Hunter: cold email, sent from separate domains so our main address stays warm.
  • Gmail: replies, follow-ups, inbox zero every day.
  • WhatsApp: every booked call becomes a contact on my phone, so I can reach the person in one tap.
  • Luma: our monthly workshop page.

Notice the word "today." Any of these can be replaced next quarter, and the business won't notice. 🐯

When the next big tool launches, others migrate, rebuild and retrain for months. You plug it into your two brains and it's useful in days.

One more thing about arms. Fast arms need brakes. We learned that the hard way, and wrote about it in GTD Before AI. Today, code checks our LinkedIn campaigns against the copy we approved, every 30 minutes. If they don't match, the arm stops.

The arm you keep

There's one arm AI doesn't move.

The sales call.

AI prepares me before it: who this person is, what they said last time, what's at stake. Granola listens during it. AI writes the debrief after it.

But the conversation itself? I lead it. 🐬

That's the whole point of the setup. Sales calls slip out of control when you walk in cold. You end up chasing, explaining, hoping. When both brains brief you, you walk in knowing more than the buyer expects. You hear yourself asking the questions instead of answering them. You lead.

AI gives you the preparation. You keep the control.

Clarity, then control, then freedom

Here's how the pieces stack.

The brains give you clarity. Inbox zero every day. A Friday review that scores the week. Nothing important lives only in your head, so nothing quietly rots there.

Clarity gives you control. That's the sales call above. You walk in briefed, you lead, and you can hear it in how calm your own voice sounds. 🐯

The arms give you time. They follow up, publish and start conversations while you're at dinner with your family or out on a long run. 🐬

The order matters. Arms without brains don't buy you time. They scale the chaos, faster, and you lose control of what goes out under your name.

Jay Abraham and I wrote a whole book about that last part: Time Freedom: Applied Leverage For Your Business Breakthroughs. It came out in April 2026. It's about leverage: getting far more out of the time and effort you already put in. If you want the deeper version, get Time Freedom on Amazon. 🌴

Your one move this week

Don't buy a new tool.

Pick the one place where your meetings get remembered. Then, after every call this week, write down the decision and the next action. Same place, every time.

That's brain one, day one. The arms can wait. 🌴

Control in the sales call. Time back for the life around it. The freedom to live your life on your terms, and a business that funds it. That's a Sprintlife. It starts with a business that remembers without you.
